ClickUp Built
For Search
Agencies.
Not generic project management. Delivery operations for digital, SEO and GEO agencies — the structure, conventions and reporting a retained search business actually needs.
Client Folders Operated
Why Agency-Specific
Most ClickUp consulting is industry-agnostic, which means it optimises for the things every business shares and none of the things that make agency delivery hard.
A search agency has a specific shape: recurring retained work across many accounts, delivered by a shared team, where the failure mode is silent drift on one client while attention sits on another. Nobody misses a deadline dramatically. An account just quietly stops moving for six weeks and the first anyone hears about it is a renewal conversation.
Generic project management doesn't catch that, because it's designed to track projects that end. Retained SEO and GEO work doesn't end — which means throughput, ownership and staleness matter far more than Gantt charts and due dates.
What We Build
Per-Client Structure
A consistent folder-and-list convention per account — technical, links, content, reporting, operations, onboarding — so any team member can open any client and know where things are.
Naming That Enables Rollups
The prefix convention is doing more work than it looks like: it's what makes cross-account reporting mechanical rather than a manual mapping exercise every month.
Templates That Fire Properly
The most common failure I find in agency workspaces: templates instantiated into client folders with no assignee and no due date. In one real audit that was 231 tasks across three accounts — invisible work that inflates every backlog number and can never be completed.
Delivery Health Signals
Throughput over rolling windows, oldest untouched task, overdue versus no-due-date, unassigned work. Open-task count on its own will rank your accounts backwards.
Cross-Account Reporting
One weekly view: which accounts are green, which are drifting, three actions. Not a dashboard nobody opens. The method is published openly.
Wiring To The SEO Cadence
Crawl findings become technical tickets, GSC gaps become content briefs, automatically routed to the right list. Covered in SEO coaching.
How An Engagement Runs
Delivery Health Pull First
Before restructuring anything. Real numbers per account: throughput trend, stalled work, unassigned tasks, data-integrity problems. This is diagnosis, and it usually contradicts what the team believes.
Find The Actual Pathology
Ghost backlogs, tasks marked done but never closed, due dates years in the past, duplicated templates. Each one silently corrupts reporting in a different way, and each has a different fix.
Design The Convention
Folder and list structure, naming, statuses, required fields. Designed against your actual service mix rather than a template borrowed from a software company.
Build Templates That Hold
Every template task ships with an owner and a relative due date, or it isn't a template — it's furniture that will sit in a client folder forever.
Stand Up Reporting
Per-client health and a cross-account weekly. Green, amber, red, with the signal that triggered it, so the review meeting is about decisions rather than status reading.
Train The Team
Structure is easy, adoption is the hard part. The convention has to be enforced by whoever runs delivery or it decays within a quarter.
Fit
Good fit
- checkA digital, SEO or GEO agency running recurring work across five or more accounts.
- checkA workspace that grew organically and now nobody trusts the reporting.
- checkDelivery quality that depends on which team member picked up the account.
- checkYou want one weekly view of which clients are drifting, before renewal conversations.
Poor fit
- closeNot an agency. The whole structure assumes retained work across a book of accounts.
- closeFewer than three clients — the convention costs more than it returns at that size.
- closeNobody will own enforcement. A structure nobody follows decays within a quarter.
- closeLooking for generic ClickUp training. There are cheaper people for that, and they'll do it fine.
Engagement Shapes
Delivery Health Review
Fixed scope · one-time
A diagnostic pull across your accounts: throughput trend, stalled work, unassigned tasks, and the data-integrity problems quietly corrupting your reporting. Usually contradicts what the team believes.
Workspace Rebuild
2–3 weeks · project
Folder and list convention, statuses, required fields, and templates that ship with owners and relative due dates. Designed against your service mix.
Reporting Layer
Fixed scope · one-time
Per-client health signals and a cross-account weekly. Green, amber, red, with the signal that triggered it.
Team Rollout
Monthly · ongoing
Adoption is the hard part. Training and enforcement support until the convention holds without you pushing it.
Pricing is set per engagement after a scoping call — scope, account count and cadence move it too much for a single published number to be honest. You will have a fixed figure before any work starts, and there are no open-ended hourly arrangements.
Common Questions
Do you do ClickUp consulting for non-agencies?
No. This is built specifically for digital, SEO and GEO agencies, and the specificity is the point — the folder structure, naming convention and reporting all assume you're running recurring retained work across a book of accounts. A generic ClickUp consultant will give you generic ClickUp.
We already use ClickUp and it's a mess. Where do you start?
With a delivery-health pull before touching the structure. Every messy workspace has a specific pathology, and until you know whether it's ghost backlogs, unowned work or dead templates, restructuring is guesswork.
How long does a rebuild take?
Structure and templates, two to three weeks for a typical agency. Adoption is the longer piece — a perfect structure nobody follows is worse than a mediocre one everybody does, so rollout is paced to the team.
Can this report across all our clients at once?
That's the main outcome. A consistent per-client structure is what makes a cross-account delivery report possible. Without the convention, every rollup needs manual mapping and therefore never gets run.
Stop the silent
drift.
A delivery-health pull tells you which accounts are actually at risk — usually not the ones you'd guess.
